Reminders and messages
Emails sent automatically
Confirmation, reminder the day before and one hour before, cancellation: what Rendezvix sends without any setup.
What it is for
Know which messages go out on their own, to whom, and what depends on a scheduled task (cron).
Before you start
The server must be able to send emails and the scheduled task php cron.php must run every 5 to 10 minutes (see The scheduled task (cron) and what depends on it).
Step by step
- Confirmation: as soon as a booking is confirmed, the client receives an email with the date (in their time zone), the location or video link, a link to reschedule or cancel and an “Add to your calendar” link. Guests also receive the confirmation.
- Host: the profile’s contact email (or the account email) receives the new booking notice; each host of a collective or round robin appointment is also notified.
- Reminders: about 24 h before, the client receives “Reminder: appointment tomorrow”; about 1 h before, “Reminder: your appointment starts soon”.
- Cancellation: the client receives “Appointment cancelled” with your message, if any; if the client cancels, you are notified.
- For extra messages (reminder 2 days before, thank-you…), see Create automations (email and SMS); for SMS, see Set up SMS reminders (Twilio or Africa’s Talking).
Expected result
The client is informed at every stage without any action from you. Rendezvix never sends the same reminder twice.
Tips
- Clients’ replies go to the Contact email in your profile: keep it up to date (Polish your profile and booking page).
- A test email is possible from each automation with Test.
Common problems
- The client receives nothing.
- Ask them to check spam and the address entered; then check that the server’s email sending works, and contact your platform’s support if the problem persists.
- Reminders are not sent.
- The scheduled task is not running: see The scheduled task (cron) and what depends on it.
- The reminder arrives late.
- The scheduled task runs every 5 to 10 minutes; the reminder goes out on the next run.
