Reminders and messagesDepends on the plan

Create automations (email and SMS)

Send a message before or after an appointment, or on confirmation, reschedule or cancellation.

What it is for

Earlier reminders, thank-yous, follow-up messages: one send per appointment, never twice.

Before you start

Owner or Manager role. The number of active automations depends on the plan (Plans and limits). The scheduled task must be running (The scheduled task (cron) and what depends on it).

Step by step

  1. Click Automations. To start, three templates are offered: “Reminder 2 days before”, “Thank-you after the appointment”, “Offer a new slot after cancellation”.
  2. To start from scratch, scroll down to the New automation form: Name, For which type (or “All types”).
  3. Choose When: Appointment confirmed, Appointment cancelled, Appointment rescheduled, Before the appointment, After the appointment.
  4. For Before/After, set Delay and Unit (minutes, hours, days).
  5. Choose the Action: Email to the client, Email to me, SMS to the client.
  6. Write Subject (email) and Message with the variables {nom}, {prenom}, {titre}, {date}, {lieu}, {lien}, {visio}, {hote}.
  7. Leave Active ticked and click Save. Use Test to receive a sample, Pause/Activate to suspend, Delete to erase.

Expected result

The automation appears in the table (When, Action, Status Active or Paused). “Test message sent to …” confirms the test.

Tips

Common problems

“Active automations limit reached for your plan.”
Pause one or change plan.
The message is not sent.
Check that the automation is Active, that the type matches, that the delay makes sense (for example “before” does not apply to an appointment that is already too close), and that the scheduled task is running.
The SMS is not sent.
The client did not agree to SMS, or the provider shows “Needs attention” (Set up SMS reminders (Twilio or Africa’s Talking)).
The variables appear as they are.
Check the exact spelling, for example {prenom} without an accent.
