Appointments and availability
Track, confirm payment for and cancel an appointment
The Appointments list: Upcoming, Past, Cancelled, client answers, mark as paid and cancel with a message.
What it is for
Run your bookings day to day from a single screen.
Before you start
Any role can view; Manager and owner can act; “View only” access can only view.
Step by step
- Click Appointments. At the top: upcoming count, bookings this month (with the plan limit), active types, upcoming sessions.
- Choose the Upcoming, Past or Cancelled tab.
- Each row shows the date and time (in your time zone), the client, their contact details, the client’s time zone, the type, the price and the status (Confirmed, Awaiting payment, Cancelled (by you / by the client), Expired).
- Manual payment received: click Mark as paid and confirm; the appointment becomes confirmed. See Manual payment: transfer, Interac, deposit.
- Cancellation: enter a Message to the client (optional) then click Cancel and confirm.
Expected result
After a cancellation: “Appointment cancelled. The client has been notified.” The slot becomes free again; the connected calendar event and the video meeting are deleted.
Tips
- Cancelling does not refund anything automatically: the email to the client tells them to contact you for a refund on a paid appointment. Refund from your Stripe account or payment method.
- The page shows your booking link and each type’s direct link at the top.
- If the monthly limit is reached, a banner says so: the public page is closed until next month.
Common problems
- “Unable to cancel this appointment.”
- The appointment is already cancelled or does not belong to the account.
- “Unable to confirm this payment.”
- The booking is no longer “pending” (it expired or was already confirmed).
- An “Expired” appointment.
- The client did not pay in time: online, the spot is held 30 minutes by default; with manual payment, 72 h by default.
- I can’t see the appointment.
- It may be in the other tab; the display is limited to 200 rows.
