Calendars and video conferencing
Connect Google Calendar or Outlook
Your appointments are added to your calendar and time that is already busy is no longer offered.
What it is for
Avoid double bookings with your real life: your calendar blocks slots, and your appointments appear in it (moved or deleted along with them).
Before you start
Owner role. An OAuth application that you create in the Google Cloud console (OAuth client ID, Web application) or in the Azure portal (app registration with the Calendars.ReadWrite permission). The redirect address to register there is shown on the page.
Step by step
- Click Integrations › Calendars (or open Calendars).
- Create the application with Google or Microsoft by following the instructions shown, and copy the redirect address shown on screen.
- Enter Client ID and Client secret, then click Save credentials.
- Click Authorize with Google Calendar (or Outlook) and accept access.
- Set the options: Add my confirmed appointments to my calendar and Do not offer time already busy in my calendar (next 62 days, main calendar), then Save options.
- Use Test the connection to validate; Send my upcoming appointments copies already-booked appointments to the calendar.
Expected result
“Calendar connected.” The label becomes Connected. New appointments appear in the calendar; busy time disappears from the slots.
Tips
- If you have already connected Google Meet, leave the fields empty: the same credentials are used for Google Calendar.
- Disconnect removes the connection; events already created stay in the calendar.
- Sends to the calendar go through a queue: they go out when the scheduled task runs (The scheduled task (cron) and what depends on it).
Common problems
- “Authorization denied or failed”
- Most often the redirect address is not exactly the page’s, the Calendar API is not enabled, or the account is not authorized (application in testing at Google).
- “Google Calendar: enter your application’s client ID and secret.”
- One of the two fields is empty.
- Label “Needs attention” after a while.
- Access was revoked or the token expired: Authorize again.
- Appointments are missing from the calendar.
- Use Send my upcoming appointments; check that the “Add my confirmed appointments to my calendar” option is ticked.
- Free slots disappear.
- The calendar marks that period busy: untick “Do not offer time already busy” to test.
