“Awaiting payment” booking: what to check?
Why a client who paid still sees “Pending”, and how to fix it.
What it is for
Quickly diagnose a payment confirmation that does not arrive.
Before you start
Know which payment method was used.
Step by step
- Ask the client to reload the “Your appointment” page (sometimes: “Your payment is being confirmed.”).
- Check with the payment provider (Stripe, PayPal, Flutterwave…) that the payment is indeed “paid”.
- Stripe: the webhook must exist with the
checkout.session.completedevent and a correctwhsec_secret (Connect Stripe (bank cards)). African gateways: the notification address must be entered with the provider (Mobile money and cards in Africa). - Manual payment: the owner clicks Mark as paid in Appointments (Manual payment: transfer, Interac, deposit).
- If the booking expired (30 minutes online by default, 72 h manual) but the payment arrived, the owner receives the email “Payment received for an expired booking”: they refund or create a new appointment with that person.
Expected result
The appointment becomes “Confirmed” and the client receives the confirmation, or the owner knows they must refund.
Tips
- Cancelling a paid appointment does not refund automatically.
Common problems
- The client paid twice.
- The refund is made with the owner’s payment provider.
- “Unable to confirm this payment.”
- The booking is no longer “pending”.
